PRACTICAL GUIDE
Booking system or CRM? Start with the job your team needs done.
A booking system helps a customer choose a service and time. Customer relationship management helps your team organise the relationship and its next actions. A service business often needs both, but the right choice depends on where work is getting lost.

Is this the right workflow for you?
A decision guide for individual-appointment service teams. The examples below are workflow comparisons, not measured customer outcomes or rankings of competing products.
Compare the job each part does.
| Customer or team need | Booking | Customer management |
|---|---|---|
| Choose a service and time | The primary customer action | Provides context after the action |
| Review who the appointment is with | Appointment details | Customer record and relationship context |
| Own the next action | Shows when the appointment happens | Connects the record with team follow-up |
| Send a supported event to Pipedrive | A new booking can become an activity | A new enquiry can become a lead with a follow-up task |
Follow the setup and decision checklist
If the problem is arranging a time, start with booking
Customers need to understand a service, choose an available slot and submit contact details. A booking link and reliable schedule address that job. Test duration and availability first; a more detailed contact database will not fix an unclear booking offer.
If the problem is follow-up, inspect customer management
A diary entry may not tell your colleague what was agreed or who should respond next. Customer records and assigned tasks help preserve context. Look at a recent enquiry and identify where the next action became unclear.
If the problem crosses both, test the complete handover
Follow one sample customer from the public page to booking, record creation and a team task. In NEXIS, submitted bookings connect to records and the internal schedule. Check the whole path instead of evaluating screens in isolation.
If you already have a CRM, define system ownership
Keep the sales process where it works and decide which new events should move across. The NEXIS Pipedrive connector has a specific one-way scope. Do not treat that as a full migration or assume changes are mirrored everywhere.

TEST THE COMPLETE JOURNEY
See what your team receives after the customer acts.
Use a sample enquiry or appointment in your workspace. Check the customer record, internal schedule and next task. Verify external messages and CRM transfers in the connected service itself.

Without a connected process
The team chooses a tool by feature count without identifying whether the actual bottleneck is booking, customer context or follow-up.
With the NEXIS workflow
The team tests a representative customer journey, assigns ownership to each step and chooses the systems that support it. Payment, external calendars and specialist requirements are evaluated separately.
Check before you launch
- Booking: can a customer understand the service and submit a suitable time?
- Customer records: can another team member understand who the appointment is with?
- Follow-up: is there a specific next task and a person responsible?
- Integration: can you verify the supported event in the destination system without assuming a complete sync?
Questions about this workflow
Can a booking system replace a CRM?
It depends on your requirements. Scheduling alone does not establish customer-history, sales-pipeline or follow-up capabilities. Test the record and handover you actually need.
Can a CRM replace online booking?
Only if it supports the booking workflow you need or connects to a tool that does. A contact list alone does not let a customer choose a service and an available appointment.
What should I test during the NEXIS trial?
Publish a sample service, make a test booking, review its customer record and internal appointment, then assign the next task. Verify external channels separately and remember that trial accounts do not send automated WhatsApp reminders.
